A recognized pharma company is actively seeking a new Administrative Assistant to join their growing team.
About the Opportunity:- Assignment Length: 8+ months
- Schedule: Monday to Friday
- Hours: 8:30am to 5:30pm (1-hour lunch break)
- Setting: Hybrid (3 days a week onsite)
- Manage the CEO’s complex & frequently changing international and domestic travel, appointments and meetings, while maintaining maximum flexibility for consistently shifting priorities.
- Coordinate large scale ELT & Board meetings, such as but not limited to catering, room reservations both on & offsite, additional cleaning or services as needed, confirmation and rescheduling process as needed and directed
- Maintain the executive office area with appropriate supplies, liaise with information technology to ensure functioning equipment & any other essential items
- Promptly respond to emails, calls, and voicemails as necessary, level-setting expectations for turn around on each request
- Prepare & submit expense reports for Business Operations Manager & CEO within the parameters of the policies.
- Maintain a professional and welcoming demeanor when greeting and interacting with internal & external personnel, whether in person, over the telephone or email
- Act as a representative of the Business Operations Manager and CEO’s office
- Maintain strict confidence on all scheduling, meetings and matters regarding the Business Operations Manager & CEO
- 2+ years of experience as an Administrative or Executive Assistant
- Associate’s and/or Bachelor’s Degree
- Experience supporting C-Suite and Executive Leadership directly
- Experience in Life Sciences, Biopharma, Biotech, Pharmaceuticals or Healthcare industry
- Strong working knowledge of Outlook and Microsoft Suite
- Experience with Concur
- Experience with Melon (Travel Booking)
